FairShare Calculator
Generate your FairShare allocation
In many practices, incoming work — lab results, Pathlinks items, Docman documents — is divided across the team by the patient's surname. FairShare works out which surname letters belong to each person, weighted by how many sessions they work, so the same patient always goes to the same clinician.
Enter your team members and their weekly sessions or hours — the tool uses national surname frequency data, not your patient records, to build a fair allocation table you can print or paste into a document. Ranges are consistent, easy to check, and straightforward to update when your team changes.
How it works
The surname alphabet is divided into proportional ranges — each patient always routes to the same person.
- Dr AdamsAa – Go(7 sessions)
- Dr BrownGp – Ma(5 sessions)
- Dr ChenMb – Va(8 sessions)
- Dr PatelVb – Zz(2 sessions)
Example only — your team and ranges will differ
Distribution note
Surname frequency data comes from the ONS 2002 Electoral Register (England & Wales), covering 54.2 million people across the top 50,000 surnames. Post-2004 immigration (Eastern European, South Asian, East Asian, African) may be slightly under-represented — review if your patient population has significant representation from these communities.
Your team
Enter each team member's name and their weekly sessions. The optional adjustment (default 100%) lets you reduce someone's share — for example, 80 for someone on reduced sessions or returning from leave.
Import from your practice website (optional)
Enter your practice website address and we'll try to find your team members automatically. Works best with NHS and standard GP practice websites. Some sites can't be read automatically — if that happens, add team members manually.
